WORKING JOB TITLE: Public Services Assistant

IMMEDIATE SUPERVISOR: Day Circulation Supervisor

BASIC FUNCTION AND RESPONSIBILITY: Under the direct supervision of the Day Circulation Supervisor and the general direction of the Access Services Librarian. This is a high energy position which is primarily responsible for Reference and Circulation Desk services. Areas of specialization include basic Library Reference and Circulation service, the coordination and processing of Reserve materials, and the coordination of student assistants working day shift hours. In the absence of the Day Circulation Supervisor, this position is responsible for the supervision of Circulation Staff and Student Assistants. Exemplary customer service is the essential function for this position.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

  1. Main Library Service Desk:
    • Circulation Functions
      • Reviews operating practices and procedures of the department, recommending changes to increase accuracy and efficiency of all circulation functions.
      • Serves as a resource to patrons and staff by interpreting and explaining the application of departmental policies.
      • Assists Circulation Supervisors with creating and updating departmental policy and procedures; conducts and encourages communication electronically via the Library's Wiki.
      • Prepares circulation services informational use materials, such as signs, forms, guides, handouts, pathfinders, etc.
    • Reference Functions
      • Provides general reference desk service including in-person, electronic, and telephone reference.
      • Performs complex bibliographic and library record searches.
      • Instructs patrons in the use of print and electronic resources.
  2. Supervisory and Administrative Responsibilities:
    • In the absence of the Day Circulation Supervisor, is responsible for the supervision of Main Service Desk Staff and Student Assistants.
    • Responsible for opening the library Sunday through Thursday.
    • Trains, supervises, and assigns work to student assistants.
    • Orders Supplies for Public Services division and maintain supply budgets.
    • Assembles and compiles department operating data and creates and maintains statistical reports using Microsoft Word, Excel, and Access programs.
  3. Reserve Service:
    • Coordinates and processes physical reserve items.
    • Maintains the Reserve database.
    • Prepares and submits statistical reports for physical reserves.
    • Collaborates with Night Reserves assistant in managing and maintaining the reserves collection, both print and electronic.
    • Serves as a resource to patrons by interpreting and explaining the application of Reserve/Media policies.
  4. General Responsibilities:
    • Actively participates in process improvement and policy/procedure documentation.
    • Serves on library and university committees as required.
    • Participates in cross-departmental projects within the library.
    • Performs other duties as assigned.

HOURS: 11:45a - 8:15p. Sunday; 6:45a - 3:15p. Monday-Thursday; Hours will vary during the summer and intercession periods. May work alternate hours depending on staffing needs.

QUALIFICATIONS:
Required : High school education or an equivalent combination of education and experience. Strong written, verbal, interpersonal problem-solving, and time-management skills. Proven customer service and supervisory skills. Commitment to performing and maintaining exemplary customer service. Demonstrates initiative, flexibility, professionalism, and a commitment to the University's position on diversity in dealing with library patrons, colleagues, and faculty. Knowledge of word-processing and spreadsheet software, and the ability to learn new technologies quickly. Ability to push book carts and books and other materials to be shelved.

Desired: An associate degree, two years of undergraduate coursework at a college or university, or an equivalent combination of education and experience. Knowledge of HTML, Wiki, or other markup languages, and Adobe Creative Suite. Previous library public service experience.  Previous supervisory experience.
